    I’m the person teams call when their coffee setup is technically “installed” but practically chaotic. The machine is there, the beans are there, and yet every day brings a new complaint: shots taste different, milk foam is unreliable, someone forgot a cleaning cycle, and a warning light appears during the busiest ten minutes of the morning. I work with coffee machines in offices and guest-facing spaces where many different people use the same equipment, and my job is to make the station predictable enough that nobody has to think about it.

    I don’t approach coffee like a hobby. I approach it like a service. A coffee program works when normal people can succeed with it: quick steps, clear rules, and a setup that forgives imperfect users. Most “unreliable machine” stories are actually “unclear routine” stories. People try to fix taste by twisting settings, then the next person does another twist, and the machine becomes a moving target. I replace that with one steady baseline and a short process for what to do when something drifts.

    Descaling is a topic I handle carefully. People talk about it like a magic reset button, but it’s really a controlled maintenance event that should match the water profile and the manufacturer guidance. Done carelessly, it can loosen scale into tight pathways and create new failures. I recommend it only when it actually makes sense, and I plan it so the team isn’t surprised and the machine isn’t put at risk. Prevention stays the priority: correct filtration, consistent filter changes, and periodic checks so you never reach the panic stage.

    I also adjust the station environment so routines don’t fail. If the sink is awkward, parts don’t get rinsed. If cleaning tools are stored far away, steps get skipped. If waste is placed in the wrong spot, trays overflow because nobody wants to deal with them. I set up a “ready-to-clean” area: where brushes live, where parts dry, where cleaner sits, and what instruction card is posted. My documents are short and written in plain language because nobody follows a wall of text.

    I’m not a lawyer, and coffee equipment work almost never requires legal involvement. In normal operations, a lawyer is usually unnecessary; legal support typically matters only if a disagreement escalates into an appeal process or ends up in court. Day to day, what protects you is operational clarity: clear expectations, simple routines, and a realistic service plan.
